Source Pilot Privacy Policy

1. Scope

This Policy applies when Source Pilot collects, uses, stores, processes, transmits, shares, discloses or protects personal information, company information, business data and related records through its website, mobile services, applications, mini-programs, plug-ins, email links, forms, AI tools and related services.

It forms part of the User Registration Agreement and Authorization Letter. Clicking consent, registering, logging in, submitting information, publishing a sourcing request, submitting supplier information or continuing to use the service constitutes acknowledgement and agreement.

2. Information we collect

Registration and identity information may include name, title, company, country or region, city, address, phone, email, instant-messaging account, login and verification data, company registration, licence, tax, legal representative, authorized representative and risk-control information.

Purchaser information may include sourcing requirements, product, specifications, quantity, budget, target price, schedule, destination, certification, packaging, inquiries, quotation requests, samples, communications and order, logistics, payment, inspection and customs-support information.

Supplier information may include company and factory profile, capacity, products, media, specifications, quotations, certifications, reports, brands, trademarks, logos, cases, qualifications, delivery, payment and after-sales policies, communications and information used for display, recommendation, marketing and transaction support.

Technical and use information may include IP address, device, operating system, browser, login time, pages, clicks, searches, cookies, device identifiers, logs and records of viewing, inquiries, favorites, downloads, submissions, authorization and confirmation.

AI information may include text, images, tables, files and instructions submitted to AI; generated translations, summaries, descriptions, recommendations, matches and risk prompts; and user edits, confirmation, use and feedback.

3. How we use information

Purposes include account registration and access control; displaying purchaser demand, suppliers, products and capability; matching; forwarding inquiries, quotations, samples, meetings and business documents; AI translation, summaries, analysis, classification, recommendation, optimization and risk detection; customer service, support, complaints and dispute assistance; risk, anti-fraud, anti-spam, compliance and security; service and agreement notices; consented or legally permitted marketing; statistics, industry analysis, service and model improvement; and compliance with law, regulators, courts and government authorities.

4. Authorized sharing and disclosure

To provide services, Source Pilot may share necessary information with actual or potential transaction parties; logistics, payment, customs, certification, inspection, insurance, finance, legal, tax and marketing providers; affiliates, technology, cloud, AI and data processors; regulators, courts, authorities and arbitration bodies; and other parties separately authorized by the user.

Third parties will be required to process information only as necessary for the service and to take reasonable security measures.

5. International transfers

Because Source Pilot provides cross-border B2B services, information may be transferred, stored or processed in Mainland China, Hong Kong, Singapore, the United States, the European Union and countries or regions where users, suppliers or service providers are located.

Consent to this Policy and continued use indicates understanding and agreement to such transfers, subject to safeguards required by applicable law. A user submitting third-party personal information must obtain all necessary authorization, including international-transfer consent.

6. Cookies and similar technologies

Cookies, local storage, pixels, logs and similar technologies may maintain login, remember preferences, analyze use, improve performance and experience, support security and anti-fraud and, where lawful, measure marketing. Browser settings may reject cookies, but some features may stop working.

7. AI processing

AI, large language models, machine translation, recommendation algorithms and analytics may process user information for sourcing analysis, supplier matching, descriptions, translation, summaries, classification, quotation comparison, risk prompts and communication suggestions.

AI output is assistance only and is not a guarantee of transaction results, product quality, quotation accuracy, performance or legal compliance. Users must independently verify price, contracts, specifications, certification, delivery, payment, quality, intellectual property, export control and sanctions. De-identified or anonymous data may be used for model improvement, analytics and statistics where lawful.

8. Storage and retention

Information is retained for the shortest period needed for the stated purpose unless law, regulators, dispute handling, contract performance or compliance requires longer retention. Necessary records may remain after account closure for law, disputes, risk audits, transaction traceability and compliance. Data will then be deleted, anonymized or otherwise reasonably handled.

9. Security

Reasonable safeguards include access and permission controls, audit logs, encrypted transmission, data separation, security monitoring, employee confidentiality and third-party management. No internet transmission or electronic storage is absolutely secure. The platform will provide reasonable assistance for incidents but does not assume responsibility beyond applicable law for risks caused by users, force majeure, third-party attacks, communication faults, infected devices or account compromise.

10. User rights

Subject to applicable law, users may request access, copies or correction; deletion of unnecessary or unlawfully processed information; withdrawal of consent; account closure; limitation of marketing; explanations or complaint handling.

Requests may be made through the published contact methods and may require identity verification. Withdrawal, deletion or closure may prevent some or all services. Information that must lawfully be retained may remain for the necessary period.

11. Minors

Source Pilot is intended for adults and business entities with commercial sourcing, supply or trade needs. Minors should not use the service without guardian consent. Information identified as a minor’s will be deleted or otherwise handled as required by law.

12. Marketing and service notices

Necessary service notices include inquiries, quotations, system messages and agreement updates. Marketing may be unsubscribed through links, account settings or platform contact methods; necessary service notices remain unaffected.

13. Policy updates

The Policy may be updated for legal, business, technical or compliance reasons and notified by announcements, pop-ups, in-app messages, email, SMS or other reasonable methods. Users who disagree should stop using the service; continued use constitutes acceptance.
